Mail (Flat Envelopes and Postcards)

Interdepartmental Mail

You can deliver forms, mail, or small parcels to any staff/faculty member or department on campus by placing the item into a manila envelope with the person’s name and department. Just leave this at your department mail pickup and we will deliver it the following day.

Off-Campus Mail

All mailpieces must comply with USPS standards. If you have questions, need assistance, or want someone to look over your mail piece layout, please feel free to contact Campus Prints.

Do you need postage? Visit Campus Prints on the second floor of the Student Center for all personal mail. If official SSU mail, your unstamped mail pieces can be included in your outgoing department mail or dropped off at University Receiving and Mail.

  • Most departments are not charged for official SSU postcards, letter mail and large envelopes (flats).
  • We can apply first-class postage using our equipment, so don’t worry about stamps!
  • We can seal all standard business-size envelopes using our equipment, so don’t worry about sealing them! All envelope flaps must be closed and un-nested when dropped off at the mailroom for sealing/mailing.

Drop-off/pick up locations for postage-paid mail:

  • USPS Stamped Letter Mail (under 13 oz.): New Location (Stevenson) Mailbox, Student Mailroom Mailbox in Zinfandel Village, Campus Prints, University Receiving & Mail or your outgoing department mail.
  • USPS Stamped Letter Mail (over 13 oz.): Campus Prints, University Receiving & Mail, or your outgoing department mail.

Note:

If you are unsure of the weight, dropping off at Campus Prints is your best option. Maximum dimensions for a mail-piece: 15” long x 12” high x 0.75” thick (also thickness must be uniform, otherwise it will have to go as a UPS Package).

Certified Mail

If you need to send certified mail, which is the only way to track USPS letter mail, you’ll need to fill out a Certified Mail form. These are paper forms that can be obtained from Mail Services in the Corp Yard or at Campus Prints. If you require assistance filling out a certified mail form, please visit Campus Prints or call Campus Prints at (707) 664-2360.

Bulk Mail

Have a large bulk mail project with identical mail pieces? For marketing/standard mailings of 200 pieces or more or First-Class mailings of 500 pieces or more, it is important to use bulk mail as this will ensure massive cost savings. Please contact us and we will review your project to get you the best rate. We can also provide NCOA (National Change of Address) services to update your mailing list when recipients have moved, this greatly reduces incorrectly delivered mail and guarantees you get the most out of your mailings. Other bulk mailing services include CASS Certification (Coding, Accuracy Support System), EDDM (Every Door Direct Mail), BRM (Business Reply Mailers).

Receiving Mail 

Mail is picked up from the post office every morning, Monday through Friday.

Note: Packages marked as delivered by the USPS on a weekend will not be available for campus pick up until the following business day.
